Our policies are designed to support you, protect our team, and create an environment where everyone can fully relax, restore, and feel cared for. General Responsibility & EDUCATION

Guests are required to complete client intake forms prior to their first session. Forms will be sent via email to the email provided at booking. If the reservation was booked for a guest as a surprise, intake forms will need to be filled out upon arrival. In this case, please arrive 15 minutes early to ensure full service time is available after filling out forms.

Guests are responsible for notifying their therapist, wellness coordinator, and/or acupuncturist if their health conditions have changed. Full disclosure of medical conditions, medications, injuries, surgeries, pregnancy status, and sensitivities is essential for safety and proper treatment planning. Failure to disclose relevant information may result in modification or refusal of service.

Guests are responsible for consulting with a healthcare provider regarding medical conditions or concerns prior to receiving services. Rooted Method is not liable for outcomes related to undisclosed medical conditions or noncompliance with professional guidance. Conversations, intake forms, and treatment details remain private. A copy of our Private Practices is available on this website and will be provided upon request.

Our services are intended to support relaxation, stress reduction, circulation, and overall wellness. They are not a substitute for medical diagnosis or treatment.

Guests have the right to ask questions, request adjustments, or discontinue a session at any time for any reason. Ongoing communication is encouraged to ensure comfort, consent, and optimal results.

QUIET & HEALING ENVIRONMENT: To preserve a tranquil atmosphere: Silence phones upon arrival. Please step outside to make phone calls. Use quiet voices in shared spaces. Use headphones for personal music. Personal speakers are not permitted.

 

Appointments may be booked through our online portal at www.rootedmethodspa.com under BOOK, or by calling us at 757-807-7127. If your desired time is unavailable, you may join our waitlist and we’ll do our best to accommodate you.

A credit card is required for all bookings. Your card will be charged at checkout, unless a deposit, cancellation or no-show fee applies. If using a gift card, please bring the card with you to your appointment. Vouchers, gift cards, and promotional credits are applied at checkout.

Initial Acupuncture appointments and Couple Massages require a deposit equal to the full service amount at the time of booking. Cancellations within the required notice period, receive a full refund. Cancellations outside of the notice period or no-shows forfeit the deposit, which is applied to the applicable fee.

Enhancements may be added at check-in, time permitting. If you wish to begin a membership after your service, you may apply your new membership voucher toward the session you just received.

ARRIVAL & LATE POLICY: Please arrive 15 minutes early for your appointment. We will always try to accommodate your full session, but late arrivals may result in a shortened appointment at full price. Massage, Bodywork, Energy work, and Acupuncture appointments with an arrival time of 15 minutes or more past the scheduled appointment time will be cancelled and charged the applicable fee.

For sauna sessions, please remain mindful of the next guest and allow proper time for staff to clean and prepare the room. Remaining in the suite beyond the allotted appointment time may prompt a safety check and an extra 20-minute sauna session will be applied.

Group sauna sessions with new clients require arrival 10 minutes early.

Retail Returns will be accepted within 7 days with receipt if the product is unused, unopened, and in original sealed packaging. Opened or unsealed items are not returnable.

Gift Cards may be purchased online, in-store, or by phone, and must be presented at redemption. The monetary value of gift cards is honored for 5 years. Promotional cards may have earlier expirations and will be listed on the card itself. Gift cards are non-refundable and non-replaceable.

Gift cards may not be purchased with other gift cards or combined with discounts unless stated.

Refunds are not provided for cancellation or no-show fees.

Inappropriate, disruptive, or sexual behavior will not be tolerated. Sessions will end immediately, full payment will be due, and future services may be refused.

Guests may stop treatments at any time for any reason.

Rooted Method reserves the right to refuse or discontinue services for guests who violate boundaries, appear under the influence of drugs or alcohol, have unpaid balances, or present medical conditions deemed unsafe for treatment.

 

CODE OF CONDUCT & PROFESSIONAL BOUNDARIES

 

Zero Tolerance Policy: Sexual comments, jokes, gestures, advances, or requests are strictly prohibited. Any inappropriate, suggestive, or disruptive behavior will result in immediate termination of the session. Full payment will be due, and future services may be refused without exception.

Professional Boundaries: Practitioners maintain clear professional boundaries at all times. Services are strictly therapeutic and non-sexual. Requests outside the scope of professional practice will not be honored.

Guest Conduct: Guests must arrive sober and free from the influence of drugs or alcohol. Respectful communication toward staff and other guests is required. Proper care of our equipment is required. We reserve the right to refuse or discontinue services if a guest appears impaired, aggressive, or unsafe, or is damaging property and/or equipment.

 

Please be sure to take all personal belongings with you after each appointment. Rooted Method is not responsible for damage to personal electronics or lost or stolen belongings.

General Responsibility & EDUCATION

 

Use of the sauna, infrared sauna, Clearlight Red Light Therapy, cold plunge (cold tub), showers, and all thermal therapy facilities at Rooted Method is voluntary and are undertaken at the guest’s own discretion. The following policies outline expectations, responsibilities, and safety standards required of all guests.

Guests are expected to take full responsibility for their own safety and wellbeing while using all thermal therapy equipment. Guests may not misrepresent their ability to safely operate any equipment.

Guests may reserve a 20 minute (mini) or 40 minute sauna session. All sauna sessions are in personal private suites. Please note that these times reflect the total amount of time in the suite. Please be mindful of other guest appointments and do not extend your time past the allotted appointment time chosen at booking.

All first-time thermal therapy guests receive a tour and verbal instructions regarding proper use of the sauna, red light therapy, and/or cold plunge. Verbal instructions provided during the initial visit, along with these written policies, serve as the primary source of education regarding facility use.

 

HEALTH & MEDICAL CONSIDERATIONS

 

Proper hydration is essential. Guests are strongly encouraged to drink water or electrolyte-replacing beverages before and after sauna or cold plunge use. Beverages are available for purchase at the front desk. A water cooler is also available on site for clients to fill water bottles.

Guests with obesity, heart disease, high or low blood pressure, circulatory disorders, or diabetes must consult a physician prior to use. Hemophiliacs or individuals prone to hemorrhage should not use infrared saunas, high-heat therapies, or high cold therapies, such as the cold plunge.

Physician approval is required prior to infrared sauna use for guests with hypertension, hyperthyroidism, adrenal suppression, systemic lupus erythematosus, multiple sclerosis, or serious cardiac conditions.

Guests taking prescription medications should seek medical advice prior to thermal therapy, as some medications may cause photosensitivity, drowsiness, or cardiovascular changes.

Guests who are pregnant; have pacemakers, defibrillators, metal implants, rods, artificial joints; or suffer from chronic illness (including multiple sclerosis, central nervous system tumors, diabetes with neuropathy) or recent joint injuries must provide written medical clearance prior to thermal therapy.

Thermal therapy services are not intended to diagnose, cure, or treat disease. No such claims are implied or inferred.

Recommended sauna duration is a maximum of 40 minutes. Guests may step out, lower the temperature or open the sauna door as needed to cool down. Cold towels and a fan is provided for each session.

Guests with acute joint injuries (within 48 hours) should not use heat therapies until swelling subsides.

Detoxification responses such as dizziness, nausea, or fatigue may occur. Guests should end the session immediately if symptoms arise.

AGE RESTRICTIONS

 

Guests must be physically and mentally capable of participating in hot and/or cold therapy.

Entering the sauna or cold plunge under the influence of alcohol or narcotics is strictly prohibited.

Eating, smoking, sleeping, or consuming alcohol in the sauna or cold plunge is prohibited.

Guests should not look directly into Clearlight Red Light Therapy panels. Protective eyewear is available upon request.

Showering is required before entering the cold plunge, and bathing suits are mandatory to maintain sanitation standards.

Guests with open wounds are not permitted to use the cold plunge.

Electronic devices may be used inside the sauna if connected to personal bluetooth headset at the guest’s own risk and must be kept away from heating elements.

Guests entering the cold plunge must have the ability to swim.

Showers are available to guests who receive a service. Linens, shampoo, conditioner, body wash, and fresh linens are provided. If using the showers, please be sure to take all belongings with you to the shower and do not leave them inside the treatment rooms as our staff will preparing the room for the next guest. Baskets and crates are available by requests to store and transfer belongings.

 

Thermal therapy is limited to guests age 16 and older. For children 16 and older, a parent must submit a Minor Consent Form, provided by Rooted Method, and must stay on the premises for the duration of the appointment. Children under the age of 16, or anyone without a booked sauna appointment, are strictly prohibited from entering sauna suites due to safety concerns.

Children may not be left unattended in the spa at any time. Rooted Method is not responsible for the supervision or care of children at any time. Children are not permitted to remain in the waiting area during appointments, unless they are receiving a service.

Safety Precautions

 

Massage Therapy: Massage pressure, techniques, and positioning are adjusted based on individual needs, health history, and comfort. Certain conditions (recent surgeries, blood clots, infections, fractures, uncontrolled hypertension, fever, or acute inflammation) may require modification or medical clearance. Guests may request changes to pressure, technique, temperature, or draping at any time. Proper draping is used at all times. Only the area being treated is exposed.

Acupuncture: Acupuncture services are provided using sterile, single-use, disposable needles in accordance with clean needle technique standards. Certain medical conditions may require modification or physician clearance, including pregnancy, bleeding disorders, pacemakers (for electro-stimulation), or immune compromise. Guests should eat lightly before treatment and inform the practitioner of dizziness, discomfort, or emotional responses during the session. Minor side effects such as temporary soreness, bruising, fatigue, or emotional release may occur.

Energy Work (Reiki, Sound Therapy, Craniosacral, etc.): Energy work is non-invasive and performed fully clothed unless combined with massage. These services support relaxation and nervous system regulation and are not diagnostic or curative. Emotional or energetic responses may occur and are considered a normal part of the process. Guests are encouraged to communicate any discomfort or concerns during the session.

Rooted Method is not responsible for the supervision or care of children at any time. Children are not permitted to remain in the waiting area during appointments, or left unattended anywhere on the premises, unless they are receiving a service.

 

MEMBERSHIP POLICIES

 
 

BILLING

 

There is no enrollment fee to become a member of Rooted Method.  Memberships are auto-billed every 30 days until cancelled. We do not provide refunds for unused services or vouchers.

Non-Payment: Failed payments may be reattempted for up to 360 days. Repeated failures may result in cancellation and booking restrictions. Outstanding balances may be sent to collections.

 

VOUCHERS

 

Thermal Therapy Memberships: (Cold Plunge, Sauna, Fire and Ice)

Vouchers must be used within each billing cycle. Vouchers do not roll over. Vouchers cannot be shared or transferred. Unused vouchers expire 30 days from the last date of payment. To share vouchers consider our package option that allows more flexibility.

Massage + Acupuncture Memberships:

Vouchers roll over up to 90 days. Unused vouchers expire after 90 days. Rolled-over vouchers may be shared. Remaining massage/acupuncture vouchers remain valid for 90 days after cancellation.

Membership Cancellation & Membership Pause Option:

30 days’ written notice is required to cancel a membership. Memberships must be active (not paused) to cancel. Clients may cancel their membership by accessing their online portal, or by submitting an email to hello@rootedmethodspa.com. Memberships may be paused for up to 3 months by request. Memberships resume automatically after the pause date established without further notification.
